Parent–teacher communication log guide
A clear log separates what happened, what you remember and what you plan to do next. Use it for school emails, calls, meetings or a student’s conversation at school.
What to record
- Date and people. Record when the communication happened, who was involved, the channel and when you documented it. Leave unknown dates or times marked unknown.
- Topic, question and response. Summarize the issue and what was actually said or written. Separate your interpretation from factual observations.
- Evidence and source. Keep original messages or screenshots when available. Mark a remembered conversation as a recollection; do not invent a quote or an exhibit.
- Next step. Record whether a response is still needed and any optional follow-up date you choose. Update the log when a response arrives rather than assuming a resolution.
Fictional practice · no real student records
Build a clear entry, step by step
Alex Morgan asked Ms. Rivera about a missing mathematics assignment score on October 6, 2026. Alex wrote the note on October 7 and remembers the teacher saying she would check the submission. There is no screenshot and no later response recorded.
Step 1 of 4
Keep the dates distinct
A conversation date and the date you write it down can differ. If the time is unknown, say so instead of guessing.
From a paper note to a private record
If devices are not available at school, print the student sheet and write a short note when it is safe and permitted. Later, sign in to Quick Log and enter the description. Add the event date and documented date as separate details, mark recollections clearly, and attach a photo of the paper if appropriate. A guardian can review the record and add communication details.
Use initials on paper when possible. Keep completed sheets and downloaded PDFs in a safe place and share only with chosen recipients. The practice exercise uses only fictional choices, does not access your account records and resets when you leave this page.
